Create a passenger and luggage count

Count everyone traveling on each leg, including children, and list checked bags, carry-ons and bulky items. For several flight arrivals, provide each flight and the passengers assigned to it. A seat count alone does not confirm luggage capacity.

Ask reservations to confirm the vehicle plan

Describe whether the group needs an SUV, Sprinter or more than one vehicle. Confirm the actual seating and baggage arrangement before accepting the quote. Specialty vehicles are subject to availability, and representative photos do not guarantee an exact model.

Use one lead contact

Choose a person who can tell the chauffeur when the whole group is ready. Share the pickup instructions with every traveler in advance. Agree how late arrivals, split groups and additional stops will be handled.

Book the return as part of the plan

Provide the return date, pickup location and desired departure time. At conferences or celebrations, confirm the approved vehicle meeting area with the venue. Review waiting allowances, changes and the written total for every vehicle and leg.
